Understanding the service

What Are Airport Protocol Services?

Airport protocol services provide practical assistance around a passenger’s arrival or departure. Depending on the confirmed arrangement, this may include meeting the traveller, helping them find the appropriate counter, coordinating porter assistance and communicating with the person collecting them.

For a business visitor, the priority may be a clear handover to a waiting driver. For a parent traveling alone, it may be understandable meeting instructions and help coordinating the next stage of the journey. The booking should specify where assistance begins and ends. Airport protocol does not itself grant diplomatic status, restricted-area access or exemption from passenger checks.

Arrival & Departure Support

Airport Assistance Around Your Journey

01
ARRIVAL

Arrival Meet and Greet

An arrival arrangement begins with a clearly identified meeting point. Confirm the representative’s contact details and how the passenger will recognise them, particularly if their phone may not work immediately after landing.

Share the flight number, passenger count and receiving person’s details beforehand. Assistance inside restricted arrival areas must be specifically authorised and confirmed; it should never be assumed from the words “meet and greet.”

02
DEPARTURE

Departure and Check-In Assistance

Departure support can help coordinate the meeting, luggage arrangements and directions to the appropriate airline counter, within permitted access areas.

Passengers should keep their travel documents readily available and follow their airline’s check-in deadlines. ASF’s official security instructions require travellers to present their ticket at the entry gate and carry photo identification. Airport assistance does not replace these requirements.

BAGGAGE

Baggage and Porter Coordination

If you need luggage assistance, mention the number of bags and any bulky items when enquiring. Confirm whether porter arrangements are included, where assistance is available and whether a separate charge applies.

Keep passports, medicines, money and other essentials with you. Check baggage tags before leaving the collection area, and report missing or damaged luggage to the airline’s baggage desk.

Keep essential items with you. Passports, medicines, money and important documents should remain in your possession.

04
ONWARD JOURNEY

Pickup, Drop-Off and Driver Coordination

A clear handover helps passengers avoid confusion when leaving the terminal. Agree the driver’s contact details, vehicle identification and pickup location before the journey.

If transport is requested, confirm vehicle capacity for both passengers and luggage, the destination, waiting allowance and any additional stops.

Who Can Benefit From Airport Assistance?

Business Travelers and Visiting Executives

For business arrivals, coordination should connect the flight schedule with the receiving team, driver and destination. Share the local contact and any timing constraints so the proposed arrangement reflects the visit.
If the passenger also requires personal protection, discuss that separately through our Personal & Executive Protection service.

Families, Elderly Passengers and First-Time Travelers

Families may need help coordinating luggage and transport, while an elderly or first-time traveller may value simple instructions and a familiar contact at the meeting point.

Request wheelchair or accessibility support directly through the airline as early as possible. For example, Emirates recommends notifying it when booking or at least 48 hours before travel about assistance needs. Check the policy of the airline operating your flight.

Overseas Pakistanis and International Guests

When arranging assistance from abroad, provide a reachable local contact and explain any language or communication needs.

Overseas Pakistanis should also be aware of official support: the Overseas Pakistanis Foundation lists airport facilitation services, including assistance for elderly overseas Pakistanis, passengers with disabilities and those in poor health. These facilities are separate from a private booking.

What Affects Airport Protocol Service Charges?

Airport protocol charges depend on the assistance requested. Relevant factors include passenger numbers, arrival or departure arrangements, luggage support, transport and any confirmed optional services. Ask for a quotation that distinguishes the assistance fee from vehicle hire, parking, porter charges or other extras. The included waiting period and any additional waiting charges should also be clear. For delayed or changed flights, contact the booking representative promptly. Revised availability and charges should be reconfirmed rather than assumed.

Your questions answered

Airport Protocol Services FAQs

The exact meeting point should be provided in your booking confirmation. It may be an agreed public arrival or departure location. Meeting inside restricted areas requires specific permission and must be confirmed in advance.

You can enquire on their behalf. Provide their flight details, contact number and assistance needs, along with a local receiving contact. Make sure they receive and understand the meeting instructions.

These should not be assumed. Ask whether a particular facility is available, whether the passenger is eligible and whether it is included in the quotation. Immigration decisions and security procedures remain with the relevant authorities.

Notify the representative as soon as you receive an update. Your booking terms should explain the waiting allowance, revised meeting arrangements and any additional charges.

Enquire once your flight is confirmed, especially when arranging transport or assistance for several passengers. Short-notice requests depend on availability. Airline accessibility requests may have separate notice requirements.
